Scope
ONCE is a workspace service for law firms operated by Once Process Automation LLC. This page describes how ONCE processes information when you register, create or join a firm workspace, and use the service. It also applies to demonstration workspaces, which should contain fictional information only. Your use of ONCE is governed by these practices and, where applicable, by any executed agreement between your firm and ONCE. In the event of any conflict, an executed agreement controls.
Demonstration workspaces
Demonstration workspaces use synthetic, fictional data. Do not upload protected health information, confidential client information, or any real case material into a demonstration workspace. Prospects and demo participants should use only fictional information when evaluating ONCE.
Information we process
ONCE processes account information such as your name and email address; firm profile and membership information; and the matter records, task details, notes and documents that you and your firm choose to enter. We use this information to provide account access, organize your firm's work and support the service. ONCE may also process usage and diagnostic information to operate and improve the service. Features involving connected services may process additional information when those features are enabled.
Artificial intelligence
ONCE may use AI models to summarize, organize, or suggest analysis based on information in your environment. AI-generated analysis is not a substitute for professional judgment. See our AI Use page.
Data security and compliance
ONCE implements access controls and role-based permissions. ONCE does not represent or warrant compliance with HIPAA, SOC 2, or any specific security certification, and has not executed a BAA. Specific encryption, retention, and data-processing commitments are governed only by an executed agreement. See our Security page.

ONCE does not guarantee case outcomes, legal results, deadlines, or medical conclusions.
